Managing Parent Portal Workflows

There are several ways to communicate with those who submit registration forms to your program through an online Registration Form. 

This article shows how to add, edit, and delete workflows and notifications related to submitted registration forms.

Add a New Workflow

Click Settings on the left-hand navigation menu.
On the Settings page, click Parent Portal Workflows.
 
Menu options on the settings page will vary based on role and access.

The Parent Portal Workflows table shows already established workflows.
 
To add a new workflow, click Add Workflow +.

This opens the Add Workflow form. Complete the required fields.
 
First, use the drop-down list to set the Workflow Trigger. The trigger is the event that initiates the workflow.

Next, set the Workflow Action. This is the type of communication a user will receive when the trigger occurs. The communication is sent immediately.

Then, choose a Status: "Enabled" or "Disabled." This option can be helpful if you have different messages you want to send at different times; you can disable one workflow and enable another.

Finally, add an additional message if desired. This message will appear in the body of an email or a system notification sent to the registration form submitter (usually a parent). 

When done, click Save Workflow.

The example workflow below will email the submitter of a registration form that is set to "waitlisted."

The newly created workflow will appear in the list of Parent Portal Workflows.

Editing and Deleting an Existing Workflow

To edit an existing Workflow, click the pencil icon corresponding to the workflow you want to edit.
 
To remove an existing Workflow, click the trash can icon corresponding to the workflow you want to delete.
