Overview
The Daily Activity Participation Report provides a participant-level, day-by-day view of participation across activities and sessions within the selected date range.
It is designed to answer questions such as: Which individual students or participants were enrolled in or recorded in a session on each date, and what participation status appears for them on those dates?
Typical audience: Site staff, program coordinators, and grant/district-level administrators who need to review or verify participation at the individual student level.
This report is most useful when:
- Reviewing participation for individual students rather than session-level totals.
- Confirming whether a participant appears as enrolled or present across dates in a selected session.
- Investigating issues surfaced in summary reports by drilling down to the student-level detail behind those results.
Understanding the Report
- Start with the left-side identifying columns. Use the Site, Activity, Session, and participant-identifying fields to confirm whose records you are reviewing and which program/session they belong to.
- Read across the date columns. Each date column shows the participation status recorded for that individual participant on that date within the selected range.
- Interpret the row at the participant level. Each row represents an individual student or participant within a Site / Activity / Session context, not a rolled-up session total.
- Look for gaps or repeated patterns. Blank cells or changing statuses across dates can help identify missed attendance entry, irregular participation, or participants who are enrolled but not consistently present.
- Use this report alongside summary reports when needed. If a session-level report shows an issue, this report helps identify which individual records are contributing to that pattern.
Key Metrics
| Metric | What it Measures | How it is Calculated | Notes |
| Participant row | One individual student or participant listed in the report | One row per individual participant within the displayed Site / Activity / Session context | |
| Data status cell | The recorded participation status for that participant on a given date | Pulled from the participant’s participation or attendance record for that date | Useful when the report is run across more than one site |
| Site | Identifies the location where the activity took place | Grouping / identifying field; not a calculated metric | Activities are shown within the selected site context |
| Activity | Identifies the program or activity | Grouping / identifying field; not a calculated metric | Multiple sessions may exist under one activity |
| Session | Identifies the specific session within an activity | Grouping / identifying field; not a calculated metric | |
| Participant Identifier | Identifies the individual student or participant on the row | This is the participants registration number which is often their Student ID |
Statuses, Colors, and Alerts
- Present — The participant was recorded as present on that date. This usually signals completed participation entry for that student on that day.
- Enrolled — The participant is enrolled in the session. This usually signals membership in the session roster, but not necessarily confirmed presence on every date.
- Blank or missing value — In practice, users should treat gaps cautiously and review them in context before concluding that a participant did not attend.
- Colors / automated alerts — Blue cells indicate enrolled and green cells indicate Present.
Notes, Limitations, and Related Reports
- This is a detail report, not a summary report. It is intended for record-level review of individual participants.
- The report should be interpreted carefully when data entry may be incomplete; participant-level gaps can reflect missing entry as well as true non-participation.
- The exact full set of possible participation statuses is not clearly documented in the source materials available here.
- Related reports: The Daily Activity Participation Summary report is the closest companion report because it rolls similar information up to the session/date level, while this report stays at the individual participant level.
Report Filters (How to Slice the Data)
Site - Controls which site or sites are included in the report. Use this to focus on one location or a subset of locations when reviewing student-level participation detail.
Activity - Controls which activities appear in the report. Use this when you want to review participation for a specific program area instead of all activities.
Session - Controls which session or sessions are shown within the selected activity. This is especially useful when an activity has multiple session groups and the user wants participant-level detail for only one of them.
Date / Date Range - Controls which dates appear as columns in the report. Use this to focus the review on a specific week, month, or reporting period.
Adult - Controls whether adult records are included. The exact default behavior is not clearly documented in the source materials for this specific report, so users should confirm the filter setting before interpreting the results.
To apply filters (not available for all reports), use the filter icon available at the top right of the report header. The filter options shown in this report are the same for all users.
To filter by additional fields that are not available on-screen, export the table to Excel, turn on filters for the header row (Data > Filter), and use Excel’s filter dropdowns. For a quick tutorial, see Microsoft’s “Filter data in a range or table” video on https://support.microsoft.com/
