Hours of Operation by Date Report Guide

Overview & When to Use

This report answers the question: On which dates did each site operate, and for how many hours? Each row shows a single site's hours for one date, making it easy to spot gaps, anomalies, or patterns in attendance. The main audience is program coordinators and site directors responsible for compliance and reporting.

  • Audit daily hours of operation across multiple sites
  • Verify sites were open on expected days
  • Prepare day-by-day hours logs for funders or regulators

How to Read the Report

  • Start with the Institution and Site columns to confirm which program and physical location each row represents — the report can span multiple sites within the same institution.
  • Check the Date and Day of Week columns together to quickly identify whether a site operated on expected days (e.g., Mondays, Fridays) and to spot any unexpected or missing dates.
  • Review the Hours Open column for each row — this is the core metric. Look for very low values (e.g., 0.25 hours) that may indicate a partial day, a data entry issue, or an early closure.
  • Look at the grand total row at the bottom of the report to understand the cumulative hours across all listed sites and dates for the filtered period.
  • Use the Day of Week column as a quick pattern check — if a site is expected to operate only on certain days, any off-day entries warrant investigation.

Key Metrics

Statuses, Colors, and Alerts

  • No color coding or status flags are visible in this report — all rows are displayed uniformly.
  • Fractional hour values (e.g., 0.25 or 0.50) are not flagged automatically but should be reviewed manually, as they may indicate incomplete sessions or data entry errors.

Notes, Limitations, and Related Reports

  • This report shows only dates for which attendance was recorded — dates with zero hours or no activity will not appear as rows, so absence of a date does not confirm a site was closed.
  • Fractional hours should be interpreted carefully; a value of 0.25 hours (15 minutes) may reflect a legitimate short session or a data quality issue.
  • The grand total at the bottom reflects only the rows visible under the current filter settings — changing filters will change the total.
  • The report does not display scheduled vs. actual hours, so it cannot be used alone to determine whether a site met its planned schedule.

Report Filters (How to Slice the Data)

The report includes three filters that control which rows are displayed:

  • Institution — Filters the report to one or more specific institutions (grantees). Use this when a user oversees multiple institutions and wants to focus on a single or a few programs. Accepts a list of values via search.
  • Site — Filters the report to one or more specific sites within the selected institution(s). Accepts a list of values via search.
  • Date (Between) — Controls the date range displayed. Defaults to This Month, meaning the report will show hours recorded during the current calendar month unless changed. Users can adjust this to any number of pre-set date ranges (e.g. This Year-to-date, Last 3 Months) needed for their reporting period.

To apply filters (not available for all reports), use the filter icon available at the top right of the report header. The filter options shown in this report are the same for all users.

To filter by additional fields that are not available on-screen, export the table to Excel, turn on filters for the header row (Data > Filter), and use Excel’s filter dropdowns. For a quick tutorial, see Microsoft’s “Filter data in a range or table” video on https://support.microsoft.com/.
