Overview & When to Use
This report answers questions such as: Who has been logging into the system? How frequently are users accessing the platform? Which sections and subsections are they visiting? It is most useful for:
- Monitoring platform adoption — confirming that staff are actively logging in and engaging with the system after onboarding or training.
- Auditing user activity — reviewing access patterns for a specific user.
- Troubleshooting engagement gaps — identifying users who have not logged in recently or who are only visiting limited areas of the platform.
The primary audience is site administrators and program coordinators who need visibility into user-level platform engagement.
How to Read the Report
- Start with the user identity columns (Last Name, First Name, Email Address) to confirm whose activity you are reviewing. Each unique user appears as a grouped set of rows.
- Review the Session Start column to understand when each login session began. Multiple sessions per user indicate repeated logins over time.
- Look at the Section and SubSection columns to see which parts of the platform the user visited during each session — for example, the dashboard or participation views.
- Use the Session Event Date column to trace the chronological sequence of actions within a single session, from login through navigation events.
- Note the Organization Name column to confirm which site’s data the user was accessing during each session, which is especially relevant for users with multi-site access.

Statuses, Colors, and Alerts
- No color coding, status flags, or alert indicators are used in this report.
- The report is a flat activity log; all rows represent recorded events without pass/fail or threshold-based status designations.
- The red dot (●) next to User Email Address in the filter panel indicates that this is a required or primary filter field when filtering is applied.
Notes, Limitations, and Related Reports
- The report by default is generated with the displayed message: Incomplete Filters - You must complete all the filters listed.” Select the filter icon to enter a user’s email address (their login) and the desired data range.
- The report displays one row per session event, meaning a single login session will generate multiple rows — one for each section or subsection visited. This is expected behavior, not duplicate data.
- The report defaults to the currently selected reporting year and organization shown in the header. Activity outside that scope will not appear.
- Because the report is session-event-level, it can become lengthy for active users.
- No aggregate counts (e.g., total sessions, total logins) are displayed directly in the report; those summaries would need to be calculated after exporting to Excel.
Report Filters (How to Slice the Data)
Two filters are available for this report:
- User Email Address — Filters the report to show activity for a single user. Enter the user’s exact email address.
- Sign In Date/Time — Filters sessions to a specific date and time range. Use this to narrow the report to a particular week, month, or custom period. The filter uses a “between” logic, so both a start and end date/time should be provided for accurate results; the start and end date entered are considered inclusive meaning they will be included in the report.
To apply filters (not available for all reports), use the filter icon available at the top right of the report header. The filter options shown in this report are the same for all users.
To filter by additional fields that are not available on-screen, export the table to Excel, turn on filters for the header row (Data > Filter), and use Excel’s filter dropdowns. For a quick tutorial, see Microsoft’s “Filter data in a range or table” video on https://support.microsoft.com/.
