Overview & When to Use
The Partner List report provides a directory of all community and internal partners associated with each institution in the system. It helps administrators answer questions such as: Which partners are currently active for a given institution? Are there any inactive partners that need to be reviewed or reactivated?
Typical audience: District administrators, site coordinators and others who work with community partners and related resources.
This report is most useful when:
- Auditing which partner organizations are currently active and available.
- Onboarding new staff who need to understand what community and internal partners are available.
- Reviewing and maintaining the accuracy of the partner directory across institutions.
How to Read the Report
- Start with the Institution column to confirm which school or district the listed partners belong to — each row represents one partner relationship tied to a specific institution.
- Review the Partner column to see the name of each partner organization or internal department (e.g., food pantries, youth-serving organizations, internal departments).
- Check the Status column to quickly identify whether each partner is currently Active or Inactive
- Use filters (top-right of the report header) to narrow the list by Institution or Status if the full directory is large.

Statuses, Colors, and Alerts
- Active — The partner is currently enabled and available for use within the institution’s workflows including users, sessions, partners
- Inactive — The partner is no longer active with the institution program. Inactive partners remain in the system for historical reference but are not available for use in the session or users, sessions or partners areas of the system.
No color coding or alert indicators are used in this report.
Notes, Limitations, and Related Reports
- This report displays one row per institution–partner combination. If a partner is associated with multiple institutions (in the case of a State level implementation of the system), it will appear as a separate row for each.
- The report does not display contact information, service categories, or referral history — it is a directory-level view only.
- Filtering by Status = Active is recommended for day-to-day use to avoid confusion with inactive records.
Report Filters (How to Slice the Data)
The Partner List report includes the following filters:
- Institution — Filters the list to show only partners associated with a selected institution or set of institutions. Useful when a user manages multiple grantees or districts and wants to focus on one at a time.
- Status — Filters by partner status: Active, Inactive, or both. A “Select All” toggle is available to quickly include all statuses. By default, users see all statuses; filtering to Active only is recommended for operational use.
To apply filters (not available for all reports), use the filter icon available at the top right of the report header. The filter options shown in this report are the same for all users.
To filter by additional fields that are not available on-screen, export the table to Excel, turn on filters for the header row (Data > Filter), and use Excel’s filter dropdowns. For a quick tutorial, see Microsoft’s “Filter data in a range or table” video on https://support.microsoft.com/.
